Basic principles of the internship within Erasmus+ programme

  1. Internship should be related to the field of study.
  2. It may be carried out as compulsory as part of the study programme or optional, included in the student’s achievements and included in the diploma supplement, University also enables the implementation of a graduate internship.
  3. For internships, a student/graduate of SGGW may go to a foreign enterprise, research institute, university with an ECHE Card, non-profit organization or other type of institution located in a country participating in the Erasmus+ programme – programme countries (EU and associated countries).
  1. Erasmus+ internships cannot be carried out in a diplomatic mission of your country, an EU institution or an institution responsible for managing EU programmes.
  2. The basis for recruitment is the candidate’s own initiative and contacts that they have established with the host institution/company. The University supports candidates by offering the possibility of using contacts within the existing networks, and also cooperates with regular partners offering internships to SGGW students.

6. The internship programme must be prepared in agreement with the host institution, the home faculty and the student/graduate, and it is an integral part of the agreement signed between SGGW and the mobility participant. The signing of the internship programme by all three parties is tantamount to its acceptance. This guarantees recognition of internships by the University and high quality of internships abroad. The International Relations Office undertakes to familiarize the host institutions with the principles of conducting internships under the Erasmus+ programme. During the internship, the coordinator at IRO will stay in touch with the student.

7. It is possible to go for internships several times, keeping the following rules:
 – the internship must last at least 2 full months. As calculated by the Mobility Tool – 60 days.
 – the guaranteed financing internship period is 4 months – the agreement is concluded for the maximum period of this time. If the University has free funds, the internship may be extended with further financing
 8. Mobility – studies and internships at each level of bachelor/engineering, master or doctoral studies cannot exceed 12 months.
 Mobility capital for a graduate student is 12 months, including mobility to the level of completed studies (bachelor or master). Graduate internships must take place within 12 months of graduation,in the case of uniform studies (veterinary medicine), the mobility capital is 24 months.

Recruitment

 

 

Recruitment for internships is organized centrally by the International Relations Office – continuously until the funds are exhausted.

Requirements for the candidate:

  1. a student at least in the second year of studies – priority is given to students of the final years of second-cycle studies,
  2. knowledge of a foreign language at the level of min. B1 (applicable at the host institution) confirmed by a certificate (e.g. FCE, CAE, CPE, TOEFL, LCCI) or during an exam organized by IRO or students of  programmes taught in English
  3. priority is given to students who have not yet participated in the Erasmus+ programme

Students who have a language certificate, have already participated in the Erasmus+ programme, are exempt from the language exam and can report to the IRO throughout the year.

Students who do not meet the language criterion must pass the exam. Therefore, they should contact IRO.

IMPORTANT: Students planning to go on internships as graduates must enrol while still having the status of a student.

Application documents:

  • Learning Agreement for Traineeship

    Learning-Agreement-for-traineeships; signed by the student and approved by the vice-dean for didactics and the person responsible for the student’s internship at the host institution.

  • Confirmation of knowledge of a foreign language

    Submit to IRO your certificate or sign in for the exam.

  • Insurance

    Each person leaving for internships is obliged to have the EHIC card and accident and third party insurance. In the event of going on an internship to a country where the EHIC card is not valid, it is necessary to purchase health insurance.

  • Agreement

    After submitting the documents and acceptance, the mobility participant must submit the application for mobility, and then sign the agreement with SGGW.

All the documents must be delivered to IRO at least 3 weeks before the departure!

Recognition

In order to document the internship completion, the host institution will be required to issue a confirmation of internship along with the student’s assessment – “Traineeship Certificate”.

After returning from the Erasmus+ scholarship, the mobility participant is obliged to provide IRO with:

1. Certificate of attendance – a certificate of the duration of stay and a document confirming the completion of the internship programme.

2. Filling in the evaluation questionnaire.

3. Completing the second OLS language test.

Financial support for the internship

 

Erasmus+ grant:

Students and graduates qualified for the internship will be awarded a grant from the Erasmus+ Program. This grant is not intended to cover all the costs of living and costs of travel abroad, but to cover the differences between the expenses in Poland and expenses in hosting country. The grant amount is counted by multiplying the internship length in days by the daily rate specified for the relevant hosting country.

Students receiving a maintenance grant are required to deliver to the IRO a relevant confirmation and will be given a special individual grant from POWER program. This grant amounts ca 200 EURO/month, counted on daily basis and will be given in polish zloty.

Handicapped students can apply for an additional grant. This grant will be given for students, who otherwise would not be able to participate in Erasmus+ Internship Program and will be counted on real costs basis. IRO will apply to the Polish National Agency for this grant and the student will estimate her/his costs. The Agency will count the grant and provide it to the student as an advance payment, which must be recognized after the mobility based on payed bills and concluded agreements.

All grants from POWER Program will be provided in POLISH ZŁOTY.

If the mobility period is shorter than in the agreement between the student and SGGW, the grant will be adequately reduced. By shortening up to 5 days the grant will not be changed. This rule doesn’t apply for internships agreed for 2 months.

The payment follows is in two rates:

  • students are paid 80% of the due scholarship before going on an internship, the remaining amount is paid after returning and settlement and recognition of the internship.
  • graduates are paid 70% of the due scholarship before going on an internship, the remaining amount is paid after returning and settlement and recognition of the internship.

Founding of travel costs - only for STUDENTS

Students qualified for the Erasmus+ Internship Program, accepted by a host institution and having a Dean’s permission can receive a founding of travel costs from SGGW on the basis of tickets to and from internship’s placement and according to the dates on the agreement. In order to get this foundation students are obliged to buy the tickets themselves in TRAVELBANK, with whom the SGGW has an agreement with.

Founding will be provided after students deliver to IRO the following documents:

  • Invoice for the transportation tickets issued by TRAVELBANK for a student  (not for SGGW)
  • Transportation ticket if the ticket was bought abroad. In this case no invoice is needed.

The amount of founding is defined below :

The difference between the founding amount and the real transportation costs is to be covered by the student. If the student buys the ticket bevor he gets an official acceptance from SGGW, it is on her/his own risk.

The founding will be entitled only once. It is possible to get founding before departure after the tickets and invoice had been accepted by IRO, room 19 in building 8.

Co-financing a trip by car from Warsaw to the city where the partner institution is located and back (only within continental Europe)

In order to calculate the distance between Warsaw and the partner university / institution an   Erasmus+ distance calculator is used. It is  available on the Erasmus + program website:  https://ec.europa.eu/programmes/erasmus-plus/resources/distance-calculator_pl

The dubble culated distance and runded off to one is muliplied by rate for kilometers depended on the destination.

Before leaving, the student is required to submit a declaration of using the car to IRO. Travel by car is settle only after mobility on the basis of the settlement prepared by IRO.
